Planning Services create a bridge between your organization and any engagement or projects that involve larger teams from partners or vendors. If you decide to implement software or start working with an agency to develop integrated multi-channel marketing campaigns, Evolve-Digital will help you prepare to engage with them, making sure you get the most return on your investment and that the parternship starts off on the right foot. One of the biggest challenges we’ve seen when an organization enters into its first larger arrangement is the ramp-up time to get fully aligned with their partners. Too many times, challenges in the first few weeks of an engagement can derail a potentially stong, long-term partnership.
What are Planning Services?
Planning Services are focused on getting your organization as prepared as possible for an upcoming project and how to manage its impact on your organization. Typical services include:
- Resource Requirements – Who from your organization will be involved and what will be the timing (and time committment of their involvement?
- Documentation Preparation – What documentation should be readied for the incoming partner / vendor? Is it digestable or does it need some clean up prior to the engagement?
- Vendor / Partner Selection – As you work to identify the right partners and vendors, which ones make the most sense from a strategic, cultural, capability, and cost perspective? How do you ask the right questions when selecting a partner or vendor?
- Vendor Engagement Approach – How do you structure the engagement so that you have the right model for success and the right protection if something goes amiss? Do you have the right project / program controls in place?
- Vendor Negotiation – Are you paying fair rates for the work being performed? What work can be separated and done at a lower cost, or done internally?
- SOW Crafting – We will work with your procurement / purchasing group to ensure you have a fair, solid statement of work for the work being performed.
- RFP Development and Process Facilitation – How do you ensure that the questions being asked and information requested will be sufficient to vet the respective partners on the work to be completed? Do you have sufficient direction internally to issue a viable RFP?
- Governance Design and Project / Program Controls – Taking governance beyond the project to establish a cohesive and holistic structure to carry you forward into the world of digital.
How does Planning Services work?
Our Planning Services engagement model involves a recurring retainer of hours (typically 24 – 32 hours per week). You will have a single point of contact with Evolve-Digital that serves as your primary consultant who can tap into other expertise as needed to help your organization.
Our Consultant will be paired with one or more folks within your organization as a point of contact for scheduling, gathering documentation, and sharing deliverables.
We also provide a secure site for document storage, and all Evolve-Digital generated materials. You can use our space or move the information into your network at your convenience.
Flexibility to meet your needs
At the onset, we’ll collaborate on sessions, stakeholders, scope, and timing. We can adjust this as needed as your team gets up to speed and the initiative gains momentum.
